VoxNote records, transcribes, and summarizes meetings. All three happen on your own device.

1. Personal data we collect — none

VoxNote collects no personal data.

• We run no server that receives or stores your audio, transcripts, or summaries.
• The app contains no analytics or marketing SDKs. We do not track how you use it.
• We do not collect device or advertising identifiers, and we do not link data to other companies, apps, or websites.
• There are no ads and no tracking technologies.
• No account is required. We never ask for your name or email.

2. What the app stores on your device

The following is created by you and stored only on your device. We cannot access it, so under Apple's definition this is not "collection."

• Recorded audio files
• Transcripts and speaker labels
• AI-generated summaries and documents
• Note titles, folders, bookmarks, and highlights
• App settings (recognition language, which AI model to use)

The local database is encrypted on disk (ChaCha20-Poly1305).

3. AI processing — on-device by default

Speech recognition and summarization run using models downloaded to your device. Neither your audio nor your transcript leaves the machine during this.

• Speech recognition: whisper.cpp, SenseVoice (on-device)
• Summaries and documents: llama.cpp (on-device)

Model files must be downloaded once. That request goes to the model host (for example Hugging Face) and contains only the request for the model file — never your audio or transcripts.

4. Cloud AI — only if you turn it on

You may choose to use an external AI service such as OpenAI for summaries. This is off by default.

• When you enable it, the app tells you exactly what will be sent before it sends it (for example: "the transcript of this note will be sent to OpenAI's servers; audio files and other notes will not").
• In the interface, green means the work happened on this device and blue means data may leave it. You can always tell which engine is running.
• Anything you send is governed by that provider's privacy policy. We neither receive nor relay it — the app calls the provider directly with your own API key.
• If you never enable it, nothing is transmitted.

Your API key is never sent to us. It is stored in your operating system's secure storage (macOS Keychain).

5. Device permissions (microphone)

VoxNote requests microphone access solely to record meetings, and uses it only while you are recording. Recordings are stored on your device as described in section 2.

6. Sharing with third parties — none

We do not sell, share, or disclose your data to third parties. There is no data for us to share: we never receive any.

7. Deleting your data

• Notes can be moved to Trash and then permanently deleted inside the app.
• You can delete a note's audio on its own, keeping the transcript and summary.
• To remove everything, delete the app. Your notes, recordings, and downloaded models are removed with it.

8. Children's privacy

VoxNote collects no personal data from anyone, children included.

9. Changes to this policy

If this policy changes, we will announce it in an app update and on this page.
